I lost $2K client because I couldn't find a Contract file

Three months into building my dev agency, I had my biggest client ready to sign for ongoing work. They emailed asking for the original scope document we discussed in March.

I panicked. Was it in Slack? Google Drive? That random email thread? I spent 40 minutes searching while they waited.

Found it eventually in a buried Drive folder, but the damage was done. They went with another agency who "seemed more organized."

That moment cost me $12K and taught me something brutal: your tools either work for you or against you.

The Real Problem with File Chaos

Most indie hackers use 4-5 different tools for projects. Tasks in Trello, files in Drive, conversations in Slack, invoices in QuickBooks.

When a client asks for something, you're playing detective across multiple tabs.

I needed everything in one place. Not another folder system, actual context. Files attached to the specific task or project they belong to.

Now when a client asks about deliverables, I click the project, see all related files right there with the tasks they're attached to. No searching. No panic.

The system lets me organize files in folders by project phase, attach documents directly to tasks, and even link files from Dropbox or Google Drive if needed. Everything has context.

My Question for This Community

How do you handle client file requests when you're juggling multiple projects?

Still rebuilding trust with clients, but at least now I don't look like a mess when they ask for documents.
