Launching Polite AI: How We Built an AI-Powered Workspace for Teams in 3 Months

I’m thrilled to announce the launch of Polite AI, a comprehensive digital workspace that seamlessly integrates project management tools, team collaboration features, and customizable AI assistants into one unified platform. After 3 months of hard work, we’re finally live, and I’d love to share our journey, challenges, and what’s next for us. 🎉

💡 Why We Built Polite AI

We struggled to juggle multiple tools: one for project management, another for team chat, and yet another for AI assistance. It quickly became chaotic and inefficient. Additionally, team members frequently expressed frustration with the fragmented AI tools available, as they had to navigate the complexity of paying separate fees to experiment with services from various vendors. This inspired a pivotal question: “What if there was a unified platform that allowed teams to seamlessly manage projects, collaborate effectively, and access tailored AI assistants without the hassle of multiple subscriptions?” From this vision, Polite AI was born.

🧠 The Biggest Challenge We Faced

Integrating multiple models sounded exciting at first — until we realized how messy it could get.
A significant challenge in developing Polite AI was not only integrating multiple leading AI models, such as GPT, Claude, Gemini, Grok, and DeepSeek, into a unified platform but also fine-tuning the system prompts to ensure consistent quality in responses and outputs across different vendors. Each model presented its own unique characteristics, requiring us to meticulously adjust prompts so users could seamlessly select the most suitable model for their specific tasks, whether answering customer queries or analyzing data. After weeks of rigorous trial and error, we successfully achieved this integration, and early users have expressed great satisfaction with the flexibility and reliability this provides.

🔒 How We Ensured Security and Privacy

Since Polite AI handles sensitive team data, we knew security was non-negotiable. We designed workspaces to be isolated by default, ensuring data isn’t shared across teams. Conversations are securely encrypted on the server, and only authorized members can access projects or assistants. We also added support for custom domains (e.g., teamname.politeai.app) to give users more control.

🚀 What’s Next?

Following our recent launch, the Polite AI team is committed to enhancing the platform’s capabilities by integrating with a wide range of popular tools, despite being deeply engaged in a major client project.
Right now, we support Atlassian tools (JIRA, Bitbucket, Confluence), GitHub, Google Drive, and OneDrive. We're working hard to add more, and we want Polite AI to become the go-to hub for team collaboration — and maybe even solo projects too.
